Terms & Conditions
Last updated: November 2025
1. Introduction
These Terms and Conditions (“Terms”) govern your participation in any course, workshop, cohort, or programme (“Course”) provided by Deeper Change Academy (“we,” “us,” “our”) through our website deeperchange.academy or via any other communication channel.
By booking or attending a Course, you agree to these Terms.
2. Booking and Payment
A place on a Course is confirmed only once full payment, or an agreed deposit, has been received. Payment must be made using one of the methods specified on our website or invoice. All prices are quoted in GBP (£) and exclude VAT unless otherwise stated.
3. Participant Cancellations and Refunds
If you wish to cancel your booking, you must notify us in writing by email. Refunds are issued based on the time of cancellation before the course start date as follows:
-
Cancellations made more than one calendar month before the course start date will receive a full refund, minus any transaction fees.
-
Cancellations made within one calendar month but more than two weeks before the course start date will receive a 50% refund.
-
Cancellations made two weeks or less before the course start date are not eligible for a refund.
We are unable to offer refunds within two weeks of the course start date because we will have committed to costs for your place.
4. Transfers to Another Course
If you are unable to attend a course, you may request to transfer your booking to another course of the same type before the course begins. Transfer requests must be made in writing by email.
Transfer fees apply as follows:
-
Transfers requested more than one calendar month before the course start date are free of charge.
-
Transfers requested within one calendar month before the course start date are subject to an administrative fee. The fee is £150 for one- or two-day courses, £250 for three-day courses, and £350 for five-day courses.
-
Transfers requested seven days or fewer before the course start date are subject to a fee equal to 50% of the original price paid.
-
If you fail to attend (“no-show”) on the day of the course, you may transfer to a future course at a fee equal to 50% of the original price paid.
All transfer requests must be made before the original course start date. No retroactive transfers will be accepted after the course has started.
5. Cancellations or Changes by Deeper Change Academy
We reserve the right to cancel, reschedule, or modify a course in cases of unforeseen circumstances such as insufficient enrolment, illness of facilitators, or events beyond our control.
If we cancel a course, you will be offered either a full refund or a place on a future equivalent course. We are not liable for any travel, accommodation, or other costs incurred by participants.
6. Course Content and Conduct
We make every effort to ensure that course materials and delivery are accurate and of high quality. However, we reserve the right to make changes to course content, facilitators, or delivery methods if necessary.
Participants are expected to behave respectfully towards facilitators and fellow participants. We reserve the right to remove anyone from a course whose behaviour disrupts the learning environment, without refund.
7. Intellectual Property
All materials provided during our courses, including slides, recordings, handouts, and digital content, remain the intellectual property of Deeper Change Academy or the respective authors. You may not reproduce, share, or distribute these materials without prior written permission.
8. Liability
Our courses are designed for professional and personal development. We are not responsible for decisions or outcomes resulting from participation.
Nothing in these Terms limits our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be limited under UK law.
9. Data Protection
We handle personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and our Privacy Policy. By registering for a course, you consent to the processing of your personal data as described in that policy.
10. Governing Law
These Terms and any dispute arising from them are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
